EMPLOYMENT OPPORTUNITY

DEVELOPMENT AND DONOR RELATIONS COORDINATOR (full-time)

Arizona Musicfest seeks a highly organized, detail-oriented, and service-driven individual to join our team as Development & Donor Relations Coordinator. This position plays a vital role in supporting the day-to-day operations of the Development Department and advancing Musicfest’s fundraising, stewardship, and donor engagement efforts.

Position Summary

The Development & Donor Relations Coordinator supports all core development department operations, including gift processing, donor acknowledgment, benefits fulfillment, database maintenance, donor communications and stewardship. This position works collaboratively across departments to ensure seamless donor engagement and assists with box office services, donor receptions, special events, concerts and Board of Directors relations as needed.

JOB RESPONSIBILITIES

Donor Relations & Stewardship

  • Support fundraising efforts through donor identification, cultivation, and stewardship activities.
  • Collaborate directly with the Director of Development on the relationship management of Musicfest’s donor community, including Circles of Giving donors ($1,000+) and Community of Support donors ($999 and below).
  • Serve as a key point person for Musicfest Community of Support donors ($999 and below), providing a familiar connection at concert events and through correspondence.
  • Provide concierge-level ticketing support for Circles of Giving members.
  • Create invitations and manage logistics (RSVPs, catering, announcements) for development events and concert-related receptions, including Donor Patio and Inside the Circle events.
  • Deliver exceptional customer service to prospective and current donors, addressing inquiries promptly and professionally.

 Data Management

  • Manage and maintain Musicfest’s donor database and fundraising records with a high level of accuracy and confidentiality.
  • Process the receipt of all contributed revenue in the organization’s customer relationship management (CRM) system in an accurate and timely manner.
  • Maintain electronic donor files, including documentation and acknowledgment letters.
  • Update donor records with current contact information, giving history, call reports, and biographical notes.
  • Maintain the organization’s Concierge/Circle member directory.
  • Update donor contact data in the email marketing system.
  • Generate reports and lists using CRM and wealth screening tools.

 Donor Communications

  • Prepare and distribute prompt donor acknowledgment letters.
  • Assemble welcome packets for new members of Musicfest’s Circles of Giving.
  • Coordinate and distribute Circles of Giving renewal communications.
  • Update the Giving section of the Musicfest website as needed.

 Organizational Support

  • Assist the CEO with special projects and Board of Directors meeting preparation and communications.
  • Serve as liaison for Board meetings, including distributing materials, managing RSVPs, and responding to inquiries.
  • Serve as a patron services representative, processing box office orders by phone and in person.
  • Assist in qualifying donor and patron records.
  • Attend select concerts, receptions, and special events as a representative of the Development team.

Reporting Relationship

This position reports to the Director of Development and works collaboratively with the Development Department and other key staff members.

REQUIREMENTS AND RESPONSIBILITIES

  • Bachelor’s or Associate’s degree.
  • Experience within a nonprofit arts organization preferred, though not required.
  • Ability to work some evenings and weekends during the concert season and for special events.
  • Excellent verbal and written communication skills, with strong organizational, analytical, and problem-solving abilities.
  • Comfortable working with and/or learning database systems, CRM platforms, and general office software.
  • Self-motivated and capable of working independently, while also collaborating effectively as part of a team.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment with professionalism and composure.
  • Physical ability to lift and carry up to 25 pounds when transporting materials and assisting with event setup.
  • Demonstrated enthusiasm for and commitment to the mission of Arizona Musicfest and the performing arts.

Compensation

Arizona Musicfest offers a competitive salary, commensurate with experience, as well as benefits.

Salary Range: $55,000 – $65,000 annually.


EMPLOYMENT OPPORTUNITY

ASSOCIATE DIRECTOR OF DEVELOPMENT (full-time)

Arizona Musicfest seeks an enthusiastic, engaging and strategically minded professional to serve as Associate Director of Development. The ideal candidate will have a proven track record of growing contributed revenue and executing moves management strategies. An existing network of Scottsdale/Phoenix-based foundation, corporate and individual relationships is preferred, though not required.

In recent years, Arizona Musicfest has experienced transformative growth through both earned and contributed revenue. The Associate Director of Development will play a key role in advancing and maximizing the organization’s philanthropic potential.

Sources of Musicfest’s support include individual giving, corporate sponsorships, government and foundation grants, planned giving, and special events. The Associate Director of Development works in close collaboration with all staff of Arizona Musicfest and reports directly to the Director of Development.

JOB RESPONSIBILITIES

  • Achieve and/or exceed contributed revenue goals for the Annual
  • Maintain an active portfolio of individual donors (primarily at the $1,000–$5,000 level), corporate, foundation and government partners and prospects.
  • Cultivate and solicit renewals and upgrades by strengthening relationships with current donors and institutional partners.
  • Identify, cultivate, and solicit new donors through strategic prospecting of non-contributing patrons and community resources.
  • Conduct prospect research to strengthen the donor pipeline and identify new opportunities for meaningful engagement.
  • Research and manage grant opportunities, producing compelling proposals as well as required reporting and stewardship.
  • Strategically enhance the organization’s corporate sponsorship program to meet the objectives of business partners through both quantitative and qualitative benefits.
  • Collaborate with the Executive and Producing Director, CEO and Director of Development to strengthen the Saguaro Circle planned giving program through promotion and thoughtful solicitations.
  • Work collaboratively with the development team to enhance the Concierge benefits experience for Circles of Giving donors and institutional partners.
  • Support the planning and execution of development-related events and donor engagement opportunities.
  • Assist the Executive and Producing Director, CEO, and Director of Development in achieving charitable goals for special fundraising initiatives, including but not limited to The Next Stage Fund, the Arizona Musicfest Endowment, and other strategic campaigns.
  • Collaborate with the Director of Development to prepare annual development plans, including strategy, budgeting, implementation, and evaluation.
  • Work closely with the Director of Marketing and development team to produce fundraising appeals, donor communications, and development collateral materials.

REQUIREMENTS AND QUALIFICATIONS

  • Prior fundraising experience in charitable organization required (including individual giving, grant writing, corporate sponsorship). Experience in non-profit arts
  • Knowledge and experience with the Scottsdale/Phoenix funding community strongly
  • Exceptional communication skills (written and oral) with excellent organizational and managerial
  • Experience working with CRM systems (Patron Manager, Tessitura, Raiser’s Edge or similar platform) and Microsoft Office, including Word, Excel, Outlook, PowerPoint and other Windows applications required.
  • Experience working and interacting with boards, committees, and community
  • Ability to work evenings and weekends during organization’s concert The Associate Director of Development attends all Arizona Musicfest performances and special events for donor cultivation and logistical support.
